Every time I talk to clients about bookkeeping for Hong Kong companies, I’m asked the same question:
“Can I do it at the end of the year instead? I’m too busy during the rest of the year.”
Yes, but the cost of doing so includes back taxes, penalties, and accounting fees that are 3 to 5 times higher than those for quarterly bookkeeping.
💡 If you’re still doing your year-end bookkeeping and aren’t sure if your supporting documents are complete, feel free to add me on WeChat. qcygscszk or call 18676749275, text 【Account Review】 to get a free accounting health check.

Can you remember the amount of every purchase made a year ago and where each supplier invoice is located?
The reality is:
| Accounting Method | Document Omission Rate | Consequences of Omission |
|---|---|---|
| Quarterly settlement of accounts | <5% | Can be replenished promptly |
| One-time year-end accounting | >30% | Cannot be traced; current-period costs cannot be recorded. |
The direct consequence of a missing receipt: This expense cannot be claimed as a tax deduction.
Suppose you purchased HKD 1 million worth of goods in a year, but the 30% voucher is missing. In that case, HKD 300,000 of the cost cannot be deducted—calculated at a 16.5% profit tax rate, this amounts to an additional HKD 49,500 in taxes.
This overpayment of taxes could have been completely avoided.
Another benefit of quarterly bookkeeping is:Know how much the company earned or lost each quarter.
Year-end accounting is a one-time process—it’s the only financial checkup of the year. If a loss in a particular quarter is due to special circumstances and isn’t discovered until year-end, there’s no time left to make adjustments.
For companies with profits exceeding HKD 2 million, keeping track of real-time profit figures on a quarterly basis is the foundation of effective tax planning—only by knowing the scale of profits can you plan in advance for tax deductions, offshore applications, and the timing of dividend distributions.

The accounting (auditing) industry has a peak season—from January to April each year, when Hong Kong’s fiscal year ends and a large number of companies need to conduct their bookkeeping and audits all at once.
If you don’t keep books on a regular basis and instead handle everything at the end of the year, you’ll run into two problems:
For the same set of accounts, the total cost of quarterly bookkeeping is actually lower than that of year-end bookkeeping.
Step 1: Collect supporting documents on a quarterly basis
Step 2: Send it to the accountant for data entry
Submit supporting documents → Accountant enters data into the system → Generate quarterly financial statements (income statement + cash flow statement)
Step 3: Quarter-End Reconciliation
Verify quarterly profits → Compare with projections → If any discrepancies are found, address them during the current quarter
| sports event | Quarterly settlement of accounts | One-time year-end accounting |
|---|---|---|
| Document Omission Rate | <5% | >30% |
| Tax Overpaid Due to Missing Documentation | Extremely low | You might end up paying tens of thousands more |
| Accounting and Auditing Fees | Regular Price | Possible price increase: 50%-100% |
| Annual Profit Overview | Real-time (quarterly) | Afterward (at the end of the year) |
| Total Cost | lower (one's head) | 高 |
